PublishPress Capabilities Pro: WordPress Roles and Access

PublishPress Capabilities Pro lets WordPress administrators tailor user roles and permissions without writing code. Edit, create, or duplicate roles, then assign the capabilities each role needs.

Permissions for content, media, and stores

Choose who can publish, read, edit, or delete posts, pages, custom post types, and Media Library documents. Custom post types can come from code, a theme, or a plugin. For categories, tags, and other taxonomies, assign distinct Manage, Edit, and Assign capabilities. You can also set which roles may send posts to each custom status.

For WooCommerce, manage permissions for products, orders, coupons, and product taxonomies such as categories, tags, and shipping classes. Media Library permissions cover uploading, editing, and deleting files.

Admin access by role

Use Admin Menus to edit menu links, add menu or submenu links and separators, and block top-level or submenu access for selected roles. Pro also lets you block admin pages by URL and conceal metaboxes for specific roles. Admin Features can remove toolbar entries and dashboard widgets; Profile Features can hide settings from the Profile screen.

Editor Features controls what visitors see in the block editor or Classic Editor, including sidebar panels, the Publish button, title, body, and permalink. Admin Styles can personalize the admin color scheme and appearance by role. Frontend Features can hide elements or add CSS and body classes for selected roles. Navigation menus can be restricted by role or logged-in status. Redirects can set destinations after login, logout, registration, or a user's first login. Admin Notices organizes messages and advertisements in the admin area.

For multisite networks

Manage permissions on one site or pick to synchronize changes across a multisite network. Role testing lets you check a user's account without resetting their password.

Back up and review changes

Each permission change is backed up automatically before it is applied. The Backup area can restore recent automatic backups, including the initial installation backup, or create a manual backup. These options help review role changes and recover an earlier permission setup.

Initial setup

  1. Install and activate PublishPress Capabilities Pro in your WordPress site.
  2. Open the Capabilities area and select the role to manage.
  3. Create, copy, or edit the role, then assign its capabilities and administration controls.
  4. For menu access, open Admin Menus and mark the links the selected role should not access.
  5. Review the permissions with the backup and user-testing utilities. On multisite, choose whether to apply changes to one site or synchronize them across the network.
